Troubleshooting Unmatched Transactions in Xero

What Are Unmatched Transactions

When performing bank reconciliation in Xero, sometimes certain transactions do not appear as expected or fail to match automatically with your bank feed or uploaded statement.

These are known as unmatched transactions — items that exist either:

  • in your bank statement but not in Xero, or

  • in Xero’s records but not in your bank statement.

Unmatched items can occur due to missing entries, duplicate uploads, incorrect dates, or delays in your bank feed.


How to Identify Unreconciled Items in the Bank Feed

To locate and review unmatched or unreconciled transactions:

  • Go to Accounting → Bank Accounts.

  • Select your bank account.

  • Click Reconcile X Items.

  • Review the list of transactions shown under Bank Statement Lines and Xero Transactions.

If Xero cannot find a match, the system will show “No suggested matches.”
You can manually fix these by clicking Find & Match, Create, or Discuss to leave notes for later review.

Tip: To view all unreconciled items at once, go to Bank Account → Account Transactions, then filter by Status → Unreconciled.


Fixing Duplicates and Missing Entries

Issue: Duplicate Transactions

Cause: The same bank statement was uploaded more than once.

Solution:

Step 1: On the Reconciliation Dashboard, select Bank Statement from the top bar.

Step 2: Click the Statement Lines dropdown and choose Statement.

Step 3: To delete specific transactions, tick the checkbox beside each transaction you want to remove and click Delete.

Step 4: To delete the entire statement, scroll to the bottom and select Delete Entire Statement.


Issue: Missing Transactions

Cause: The bank feed or uploaded file skipped certain days or transactions.

Solution:

Step 1: Review your bank statement to identify which days or transactions are missing.

Step 2: Upload the missing statement file.

Step 3: If the transactions are still missing, manually create them using Spend Money or Receive Money in Xero.

How to create spend or receive money:

  • On your bank account page, click the three dots (⋮) and choose Spend Money or Receive Money.

  • Fill in the required fields and click Save.


Issue: Wrong Date or Amount

Cause: A CSV import format issue or user entry error during upload.

Solution:

Step 1: Review the imported statement for incorrect dates or amounts.

Step 2: Correct the original CSV or statement file.

Step 3: Delete the previous statement and re-import the corrected statement into Xero.


Handling Unpresented Cheque or Uncredited Receipt

Unpresented cheques (cheques issued but not yet cleared) and uncredited deposits (payments made but not yet reflected in the bank) are common causes of mismatched balances.

To reconcile these items:

  1. Confirm the cheque or deposit is still valid and expected to clear.

  2. Keep the total amount into a new Chart of Accounts during opening balance setup -> Unpresented Cheque & Uncredited receipt

  3. Once cleared, use Create feature in Xero Bank Reconciliation section during the next reconciliation.

Tip: If the cheque or deposit remains uncleared after year-end, consult your accountant about adjusting it as a write-off or journal entry.

Preventing Future Mismatches

  • Use bank feeds whenever possible. They minimize manual uploads and reduce duplicate data.

  • Reconcile regularly — weekly or bi-weekly reconciliation keeps errors manageable.

  • Use consistent CSV formats if uploading statements manually.

  • Avoid editing historical reconciled items — doing so can unbalance prior periods.

  • Assign clear responsibilities within your team for who uploads, reviews, and approves reconciliations.

Q1: Why are my transactions missing from Xero?

Missing transactions usually happen when a bank feed fails to sync or when a CSV statement is uploaded with missing dates or lines.

Recheck your bank feed connection under Accounting → Bank Accounts → Manage Account → Refresh Feed, or re-upload the correct CSV file.

Q2: How do I fix duplicate transactions after importing a statement?
If you accidentally uploaded the same statement twice:

  1. Go to Accounting → Bank Accounts.

  2. Select your account and click Manage Account → Statement Import History.

  3. Delete the duplicate import and re-reconcile your transactions.
